Job Description:

This administrative position is based at the Fish and Wildlife Research Institute in St.
Petersburg in support of the Fishery Dependent Monitoring (FDM) subsection.

The qualified applicant will provide administrative assistance within the Fisheries Dependent Monitoring program.
This position provides support for the management of personnel, vehicles, and purchasing.
Will work collaboratively with staff to
assist with inventory, purchase orders, travel, and reimbursements.

Duties and
Responsibilities:

  • Assisting with inventory, purchasing, correction memos, purchase orders, vehicle logs, monthly invoices, and travel for the FDM section.
  • Thoroughly understanding and adhering to the rules, regulations, policies and procedures related to the purchase of commodities and services on behalf of the State of Florida
  • Assisting staff with the purchase of commodities and services by providing guidance, compiling required paperwork and approvals, and/or using assigned purchasing card to complete the purchase
  • Correctly completing and submitting required paperwork associated with purchasing activities in an efficient and timely manner
  • Organizing and maintaining current records, reports, receipts, and documentation on hard copy and electronically on the FWRI network.
  • Working within a team while proving initiative and being able to work independently without supervision.
  • Maintaining information on current FDM staff through the FDM Employee App.
  • Assisting with FDM s annual meeting, School Daze, and Marine Quest.
  • Developing and maintaining professional working relationships.
  • Assisting immediate supervisor with other duties as required.

  • Skill and proficiency in creating, updating, and summarizing spreadsheet data using Microsoft Excel and pivot tables.
  • Skill and proficiency using MS Outlook.

Minimum
Qualifications:

A High School Diploma or GED with one year of professional administration, customer service, and/or bookkeeping experience.

Preference may be given to those candidates who have:

  • Extensive experience with computers, Microsoft Excel and Microsoft Word
  • Two years of full-time clerical or administrative experience
  • Prior experience with the State of Florida and a working knowledge of purchasing rules and regulations.
  • Prior experience with FLAIR, MFMP, WORKS, and FLEET.

WHAT IS OPS EMPLOYMENT? Other Personal Services (OPS) temporary employer/employee relationship used solely for accomplishing short term or intermittent tasks.
OPS employees do not fill established positions and may not be assigned the duties of any vacant authorized position.
OPS employees are at-will employees and are subject to actions such as pay changes, changes to work assignment and terminations at the pleasure of the agency head or designee.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
