Administrative Assistant (OA)

Administrative Assistant (OA) provides direct administrative support to the Leadership Team and indirect support and consultation with 18-25 Vet Center Office Managers in the field operations. The position acts as an organizational resource person providing various information to field and Leadership staff, support to the various RCS programs, performing a variety of special administrative tasks, resolving and assisting a variety of challenges with Vet Center and District staff, and projects as assigned by the supervisor. Major duties and responsibilities include but are not limited to:
Act as one of the primary points of contact for inquiries coming into the RCS district office from the Vet Centers and others Contact and engage frequently with field staff to answer questions regarding assignments or tasks which each Vet Center is responsible for submitted to RCS leadership Provide direct administrative support to the Associate District Director for Administration with collection, tracking, and reporting of various tasks and reports within RCS Coordinate processes and procedures within the Leadership Team and Vet Center operations, serving a resource liaison with RCS Centralized Human Resources Management Office Assist the Deputy District Director in the development of techniques for management and quality process improvement initiatives Responsible for developing, reviewing, and processing administrative work to include various correspondence for signature Develop action items to request and/or process information with the field Vet Centers Establish and maintain tracking systems for workload priorities, and develop and maintain tracking systems within the office Assist in the administrative portion of planning events and meetings hosted by the Deputy District Director and Leadership Team managers Make preliminary travel coordination, arrangements and prints travel documentation for supervisor Establish and maintain a master events, activities, appointments and leave calendar for the Deputy District Director Maintain and track correspondence, emails and reports of contact for the Deputy District Director's review on a regular basis Utilize Microsoft Office Suite and other software tools to prepare professional presentations for the Leadership team Perform functions related to a card holder of the Government Purchase Card Program Perform other related duties as assigned Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. Specialized
Experience:
You must have one year of specialized experience equivalent to at least the next lower grade (GS-06) in the normal line of progression for the occupation in the organization. Qualifying examples of specialized experience would typically include, but are not limited to:
responsible for administration of one or more programs by utilizing knowledge of the range of administrative and organizational laws, policies, regulations and precedents applicable to the program; applying the knowledge of organizational correspondence control practices and routine office processes; applying analytical and evaluative methods and techniques to issues or studies concerning the efficiency and effectiveness of program operations; planning, organizing, and participating in team study work to negotiate effectively with management to accept and implement recommendations; establishing and maintaining effective working relationships with all levels of the organization or external organizations; and preparing written reports and explaining and defending decisions to program leadership, or higher-level reviewing officials. (This experience must be supported by your resume to be creditable.) You will be rated on the following Competencies for this position:

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements:
The work is primarily sedentary. No special physical demands are required to perform this work. Work is accomplished with the incumbent sitting at a desk or table but may involve some walking, standing, lifting, bending, and carrying of light items.
