We are seeking a versatile and detail-oriented Administrative Assistant to join our team, with a focus on providing exceptional customer service and supporting quality assurance initiatives.
The successful candidate will play a key role in ensuring a positive customer experience while assisting in maintaining high-quality standards across our organization.
Objective for this Role:
Ensure a high level of customer satisfaction by providing prompt, courteous, and effective responses to customer inquiries and concerns.
Support the successful implementation and maintenance of quality assurance processes and procedures across the organization.
Organize and manage quality-related documents, ensuring compliance with quality standards and easy accessibility for relevant departments or auditors.
Ensure accurate and timely entry of customer service and quality assurance-related data, and generate reports for management review.
Coordinate and support training sessions related to both customer service and quality assurance, ensuring employees are well-equipped with the necessary skills and knowledge.
Actively contribute to identifying opportunities for process improvement in both customer service and quality assurance.
Responsibilities:
General Administrative Support Answer and direct phone calls to the appropriate parties.
Assist in the preparation of reports, presentations and other documents.
Manage and update team member's calendars for meeting scheduling.
Data Entry & Reporting Maintain and update records, databases and electronic filing systems.
Verify accuracy and completeness of information.
Input and maintain data related to customer interactions and quality metrics.
Generate reports on key quality and customer service indicators for management review.
Customer Service Serve as the primary point of contact for customer inquiries, ensuring prompt and courteous responses.
Address customer concerns and issues, providing effective solutions and maintaining customer satisfaction.
Build and maintain strong customer relationships through proactive communication and support.
Quality Assurance Support Assist in the implementation and maintenance of quality assurance processes and procedures.
Support the coordination and execution of internal and external quality audits.
Contribute to the analysis of quality data, identifying trends and areas for improvement.
Document Control Manage and organize quality-related documents, including policies, procedures, and customer communications.
Ensure documentation complies with quality standards and is easily accessible.
Training Coordination Coordinate and support training sessions related to both customer service and quality assurance.
Maintain records of employee training, certifications, and ongoing professional development.
Continuous Improvement Collaborate with teams to identify opportunities for process improvement in both customer service and quality assurance as it relates to the different departments within the company.
Participate in cross-functional projects aimed at enhancing overall organizational effectiveness.
Requirements:
Education High school diploma or equivalent; Bachelors Degree preferred.
Additional qualifications in customer service or quality management are a plus.
Additional qualifications in business administration or customer service are a plus.
Experience Proven experience as an administrative assistant with a strong focus on customer service.
Exposure to quality assurance processes and principles preferred.
Skills Strong organizational and time-management skills.
Excellent communication skills, both written and verbal.
Ability to multitask and prioritize tasks.
Proficient in MS Office (Word, Excel, Outlook, Powerpoint).
Quality Focus Understanding of basic quality assurance principles and a commitment to maintaining high standards.
Customer-Centric Attitude Friendly and approachable demeanor with a commitment to providing exceptional customer service.
We are looking to hire with a start date for the beginning of January 2024.

The check will bounce and the victim is left responsible.
